Administrative assistant/bookkeeper

The Caring for Friends™ administrative assistant/bookkeeper is responsible for coordinating all administrative activities of the organization, act as liaison and resource for the senior management team and the directors, and handle the organization’s bookkeeping function. This is a full-time position located at our warehouse and office at 12271 Townsend Road, Philadelphia PA.

Primary responsibilities

  • Perform administrative functions as assigned by the senior management team and directors
  • Manage office volunteers
  • Be the inside face of Caring for Friends
  • Work closely with all departments to understand organizational needs and communicate improvement opportunities to the senior management team
  • Perform administrative HR duties including processing payroll and maintaining the proper personnel files
  • Monitor operational supply purchasing
  • Oversee donor management systems recordkeeping and acknowledgements
  • Receive invoices, manage getting approvals, voucher and pay in QuickBooks
  • Perform month-end reconciliations and record journal entries
  • Other duties as assigned

  • Natural positive take-charge attitude, sense of humor, and agile
  • Above basic experience using Microsoft Word, Excel, Outlook, Google Suite, and QuickBooks
  • High school diploma or higher desirable
